Almic Systems is currently operated as an unincorporated business. These privacy disclosures describe the current operation of the Almic Systems service. Operator information may be updated when the business is transferred to a formally organized legal entity.
Almic Systems collects information including account information, professional credentials, project/site information, property addresses, sample locations, field notes, photos (including EXIF data), floor plans, laboratory reports, chains of custody, AI extraction information, correction records, technical/device information, and billing-related information.
Almic Systems currently uses OpenAI Responses API and AWS Textract for applicable document-processing workflows. Almic Systems configures applicable OpenAI Responses API requests with store:false, which instructs the API not to retain the response for later application-state retrieval. Separate provider retention for abuse monitoring or legally required purposes may still apply according to applicable provider terms and account-level data controls. OpenAI does not use API Platform inputs and outputs to train its generalized models by default, subject to applicable business terms and data controls.
Almic Systems does not currently use identifiable Customer Content to train generalized cross-customer Almic models and does not currently operate a generalized training, fine-tuning, or cross-customer learning pipeline.
Almic Systems maintains reasonable safeguards including schema-based tenant isolation, tenant-prefixed object-storage keys, role-based access controls, authenticated webhook signature verification, transport encryption for applicable service connections, presigned object-storage URLs, and PII-reduction controls for error monitoring.
Customer Content is generally retained while the account/service is active. Project deletion currently uses a 30-day soft-delete recovery period before applicable primary project records and associated objects are purged. Retention periods for AI extraction records, audit logs, inbound email, correction history, database backups, security logs, and terminated accounts depend on operational requirements, applicable policies, provider retention, legal obligations, and future documented retention schedules until specific periods are adopted.
Almic Systems and its service providers may process information in the United States and other jurisdictions in which they or their subprocessors operate, subject to applicable contractual and legal safeguards. Current service providers support infrastructure, storage, email, authentication, billing, AI processing, monitoring, and caching.

Almic Systems provides workflow and information-management software for environmental consulting firms. ALMIC SYSTEMS IS NOT AN ENVIRONMENTAL CONSULTING FIRM, A LICENSED LABORATORY, AN ENGINEERING FIRM, A LAW FIRM, OR A CERTIFIED INSPECTION AGENCY. Almic Systems does not perform physical inspections, collect samples, independently verify laboratory analysis, determine regulatory compliance on the customer's behalf, or provide legal, engineering, environmental, scientific, or regulatory advice. Jurisdiction-specific thresholds, templates, warnings, and rules within the Service are workflow aids and may not apply to every project.
All AI-extracted laboratory results, sample matches, percentages, concentrations, detection statuses, threshold indicators, generated narratives, report fields, recommendations, and automated classifications must be treated as preliminary information requiring professional human review. Before approving, exporting, signing, filing, delivering, or relying upon a report, qualified Customer personnel must verify the information against original Source Documents. Customer remains responsible for professional judgment, source-document verification, sample/result matching, applicable regulatory determinations, corrections, report approval, report issuance, professional signatures, regulatory filings, recommendations, and reliance on the resulting report.
Almic Systems currently uses third-party AI/document-processing services including the OpenAI Responses API and AWS Textract. AI Output is probabilistic, may contain errors, may omit information, may mismatch samples or values, may generate unjustified confidence, and may fail to identify an anomaly. The absence of an AI warning does not establish that information is correct. Human verification against the original document is required.
Customers retain ownership of Customer Content. Almic Systems is granted only the operational rights reasonably necessary to host, store, transmit, parse, transform, display, process, back up, and secure Customer Content for operation of the Service.
Almic Systems does not currently operate a generalized training, fine-tuning, or cross-customer learning pipeline and does not currently use identifiable Customer Content to train generalized cross-customer Almic models. Corrections, extraction records, and approval history may be retained as part of operating the Service, maintaining audit history, troubleshooting problems, and evaluating system performance. Any future use of identifiable Customer Content for generalized cross-customer training will require separate affirmative authorization and appropriate product and privacy controls.
Offline records may be stored in browser/device storage such as Hive/IndexedDB. This local offline content is not currently encrypted by the Almic application. Unsynchronized information can be lost because of browser data clearing, storage eviction, private browsing, device loss, device damage, browser/OS behavior, or failure to synchronize. Users must verify successful synchronization before clearing local data, replacing devices, or treating field data as safely submitted.
Almic Systems relies on service providers for infrastructure, storage, email, authentication, billing, AI processing, monitoring, caching, and similar functions.
Subject to applicable law, Almic Systems disclaims liability for indirect, consequential, special, and punitive damages, lost profits, lost revenue, business interruption, and loss of goodwill. Almic Systems' aggregate liability is capped at fees paid or payable by Customer during the preceding 12 months.
These Terms are governed by the laws of the State of Texas, to the extent permitted by applicable law.
